A delay on the departure board is stressful enough without wondering whether anyone will still be there when you land. This guide explains what happens to a private airport transfer in Switzerland when your flight is late, early, rebooked or diverted, and what a short message from you can change. It applies to arrivals at Zurich, Geneva and Basel EuroAirport, and to onward journeys into the mountains in winter.
If you are still comparing options, our overview of airport transfers in Switzerland lists the airports and destinations we serve.
Why winter arrivals in Switzerland change at short notice
In winter, a few factors can move an arrival by minutes or by hours, often with little warning:
- Snow and ice. Aircraft may need de-icing before take-off, and runways need clearing after heavy snowfall. Both take time, at your departure airport as well as at the one you are flying into.
- Low visibility. Fog and low cloud can slow the rate at which aircraft land.
- Knock-on delays. An aircraft that runs late earlier in the day often carries that delay into its later flights.
- Night flight restrictions. Night flight restrictions apply at Swiss airports. A flight that falls far behind schedule late in the evening may be held, rerouted or cancelled by the airline.
None of this can be controlled from the ground. What we can control is how quickly we notice the change and adjust the pickup.
How flight tracking works for your pickup
When you book, we ask for your flight number. Our team then follows that flight in real time, so we see a delay as soon as it is reported, not when you walk into the arrivals hall. Your driver’s pickup time is adjusted to the actual arrival, without extra charge. You do not need to call us from the departure gate to report a delay that is already visible in the flight status.
Two details make tracking reliable:
- The correct flight number and date. Please check them against the airline’s confirmation, particularly if a travel agent booked your trip or your flight is a codeshare, where one flight is sold under several airline codes. If in doubt, send us the number of the airline that actually operates the flight.
- The final leg. If you are connecting through another hub, give us the flight that lands in Switzerland, not the first flight of your journey.
You can also find the short version on our frequently asked questions page.
Delay, early arrival, or a missed connection: what to tell us
Your flight is delayed. If the delay appears in the flight status, we already see it. A short WhatsApp message is still welcome if you know something the status does not show yet, such as a long wait on the aircraft before departure.
Your flight lands early. Flight tracking shows us an early landing as well, and we plan the pickup around it. If you are travelling with hand luggage only and expect to be out quickly, send a message so that your driver knows you are ready.
You miss a connection. This is the one case where tracking cannot help on its own, because the flight number we hold is no longer yours. As soon as the airline rebooks you, send us the new flight number and expected arrival time, and we will re-plan the pickup around the new flight. If you are rebooked onto a flight the following day, send us the new date and flight number as soon as you know them, and we will confirm the next steps for your transfer with you.
In every case, a useful message contains your name, your original pickup time or booking reference, the new flight number and the arrival airport. You can reach us by phone or WhatsApp on +41 76 844 05 77.
Baggage delays and long immigration queues
Landing is not the same as leaving the terminal. Baggage reclaim can be slow when several flights arrive together, ski bags and other oversized items are often delivered at a separate belt, and passport control queues for arrivals from outside the Schengen Area vary through the day.
If it will take longer than usual, for example because of a missing bag or a long queue, let your driver know by phone or WhatsApp. A two-line message such as “Landed, waiting for one bag at the oversized belt” is enough for your driver to plan around it. After your flight lands, the first 60 minutes of waiting are free.
If a bag does not arrive, file the report at the airline’s baggage service desk before you leave the reclaim area. Once you have passed through customs, it is often not possible to go back.
Late-night and early-morning arrivals
Swiss Transfer Service is available 24/7, including pickups after midnight and before dawn. This matters most when a delay pushes your arrival late into the night, when public transport from the airport may be reduced and finding a taxi can take longer.
A few points help with late arrivals:
- If your flight is running very late, follow the airline’s updates and keep us informed.
- Tell your hotel or apartment host that you will arrive late, especially if reception is not staffed overnight.
- Keep your phone charged and roaming or Wi-Fi switched on, so that your driver can reach you.
If your flight is diverted to another airport
Diversions are less common than delays, but in winter they do happen. A flight can be sent to another Swiss airport or to an airport across the border. The airline decides, often shortly before landing.
What happens next depends on your airline. It may arrange onward travel by coach or train to your original destination, rebook you on a later flight, or ask you to arrange onward travel yourself. Ask the airline staff on arrival what they are offering before you decide. For questions about compensation or passenger rights, please check with your airline directly.
If you would prefer a private transfer from the diversion airport, contact us as soon as you land. A transfer from a different airport can be arranged on request, where possible; it depends on the distance, the time of day and driver availability. Because it is a different journey from the one you booked, it is priced on the same distance basis as any booking, and we confirm the route and the fixed CHF price with you before a driver sets off. We cannot promise a vehicle at every airport at every hour, but we will let you know whether we can help.
If the airline brings you back to your original airport by coach, simply send us the expected arrival time and we will adjust the original pickup.
Basel EuroAirport: one more thing to check
Basel EuroAirport has a Swiss sector and a French sector, each with its own exit. After a delay or a change of plan, make sure you leave on the side agreed for your pickup, and tell your driver straight away if you have to use the other one. Our guide Basel EuroAirport: Swiss side or French side? explains the difference in detail, and our Basel Airport transfer page covers the pickup itself.
Mountain destinations after a late landing
When your destination is a ski resort or an alpine village, a late landing affects more than the airport pickup. Snow can make the drive noticeably longer than a summer estimate, some mountain passes are closed in winter, and arriving in the early hours raises practical questions: will anyone be at reception, and how will you collect the key to your chalet?
- Inform your hotel, chalet host or concierge of the new arrival time as soon as you know it.
- Share the exact address and any access details with us, particularly for private chalets.
Some situations call for their own planning. If you are flying privately to Samedan for St. Moritz, read what happens if Samedan Airport closes. For private jets diverted ahead of the World Economic Forum in Davos, see our guide to ground transport from Zurich, Altenrhein or Friedrichshafen.
